A claim letter is a letter of complaint about a product or service or a damage claim for insurance. In some instances, they may also be called demand letters. Here are some tips to write an effective claim letter. Write the Letter in Formal Style Formal style letters line to the left margin and have your address and date listed first, followed by the recipient's name and address information. This should be a department head, supervisor, owner, agent, or authorized representative that has the ability to settle or fix your claim. Use the body of the letter to explain your grievance and how to reconcile it. Close your letter with a salutation, skip four spaces for your signature, and type your name. If you enclose any documents, list them under your name as enclosures. State Your Grievance If the claim is a defective product or is service-related, provide all possible information, such as product number, date of purchase, receipt or invoice number, the amount paid, model number, and any other information that may help re-check the product. If the claim letter is for insurance, mention this in the opening statement, include the policy number, and give all facts regarding the claim. Do not admit guilt on any insurance type claim. Ask for a settlement amount or refund.
