There's one thing he can do but there is more than one way he can do it.

He needs to get in contact with all the Staff Members so that he can tell them the directions for checking out the new projector. So, the most common option would be to send an Email to all or the Staff Members that has the directions for checking out the new projector. That would work because it will get the the directions for checking out the new projector to all the Staff Members like he was asked to.  There's other ways he could do it but that is one of the main ways.
